Where Does Remote Computer Access Fit in the New Cloud Landscape?

Where does remote access belong in cloud landscape

We live in a world where access to information is better than ever. Want to know how many people are on the planet, or how to tie a tie? “Just Google it”. Can’t remember your uncle’s birthday? Check Facebook. Need to access your work documents while working from home? Just log-in to Dropbox.

With cloud-based working, business content can be stored on remote servers, available at any time. And with the coinciding growth of mobile devices (there are almost 225 million smartphones users in the U.S. alone), you can access that content from almost any location in the world. This is the new cloud-enabled, landscape: cloud storage platforms make it as easy to access work at home as from the office.

So, what is the role of remote computer access, in a cloud-landscape where the accessing of files is easier than ever?

, providing it is connected to the same network. With remote computer access, a user has access to the programs, software, files and network resources on the remote computer, controlling it as if they were sitting right in front of it.

In this post, we’re going to explore how remote computer access works in the new cloud landscape—and whether your company is better served using cloud computing or remote computer access.

The importance of remote computer access

Cloud computing may be one of the biggest business shifts in recent memory. When mentioning cloud computing, it makes sense to refer to Office 365, Microsoft’s all-inclusive business productivity platform. It’s the most popular enterprise cloud service on the market, offering users the ability to perform the majority of their daily tasks within a single platform, from email to document collaboration to data analytics.

But does Office 365 offer more capability than remote computer access? While the breadth of the offering cannot be disputed, businesses invested in cloud computing may be able to find additional capability, not to mention security, with remote computer access.

Cost savings

There are a number of ways in which remote computer access can cut down on business costs. You avoid investing in multiple copies of the same software packages, as they can be accessed via a single machine. In fact, as long as the host computer is high-performing, the machines used to access the host computer don’t have to be as powerful (and costly). Likewise, you can expect maintenance costs to go down, as you’re dealing with less software overall.

Ease of access

Remote computer access offers a more seamless experience than accessing files in the cloud, particularly when it comes to collaboration. Remote access enables users to connect to a common device or network directly, removing the process of sending work documents back and forth. Regardless of the programs or files needed to get work done, users can do so wherever they are on whichever device they choose.

Content security

There have always been security concerns with cloud computing, specifically those regarding user and business-sensitive data being stored on distant cloud servers. For organizations where the security of personally identifiable information (PII) and business-sensitive content is paramount, the cloud may seem like simply too big a risk, particularly with regulations like the HIPAA imposing fines on companies unable to protect the integrity and confidentiality of sensitive information.

Remote computer access prevents the user (or anyone else) from having direct access to the company’s server, instead creating a secure two-way interface between the individual and the content. Sophisticated remote computer access solutions put this kind of security at the forefront, and can in fact help organizations meet HIPAA guidelines and other regulations regarding the privacy and security of remote access to sensitive information.

Get remote desktop access right with Splashtop

Remote Access: Remote Desktop Access vs. Cloud Computing

remote access vs cloud computing

When you provide your employees with remote access, you free them from having to be in one specific location at one specific time to get their work done. It’s been widely reported that allowing employees to work remotely boosts their productivity, as well as their engagement at work.

But how do you provide this possibility for your teams? In effect, the solution is often presented as a choice between the cloud versus remote desktop. The cloud has risen in popularity in recent years, so many businesses have questions about why they would choose remote desktop over the newer tech:

  1. Why would remote desktop be a relevant solution for a business who can incorporate the power of cloud computing into their processes?

  1. Can’t the cloud do what remote desktop access does?

However, the answer to both questions is this:

Comparing remote desktop software and the cloud is missing the point.

The cloud is not a replacement for remote access technology and remote access software isn’t the same thing as moving your IT environment to the cloud. However, there are certain similarities – both the cloud and remote access software enable collaboration:

  • In the cloud, you can access your files from any device at any time.
  • With remote desktop software, you can access a specific desktop, the files, the applications, and everything else related to that desktop from a remote location.

Remote desktop software and cloud-based tools are not mutually exclusive. It seems needless to argue for one over the other. But there are reasons why remote access computing is an essential tool for your business (even if that business is already taking advantage of the cloud):

It gives you more flexibility on the ground

Certain businesses are required to keep their data and content on-premises for legal reasons. Other times, investments have already been made in on-premises infrastructure, and so there may be some business who need remote desktop software so their employees can access their own computers from anywhere with any device.

With cloud solutions, data files can be downloaded to remote computers. This can introduce some risk without proper device security features to protect any local copies of files, whether actively downloaded by the remote user or cached when files are opened and viewed.

With remote access solutions like Splashtop, the files remain on-premise, on the original computer, and the remote session supports remotely viewing and controlling the on-premise computer via a secure remote viewing/streaming session. File transfer between systems is a separate feature that can be enabled or disabled by an administrator and logging keeps track of any files that have been transferred. But in general, the remote access session only includes streaming where an encrypted video view of the system is transmitted to the viewing computer. All of the data itself remains secure on the on-premise computer.

Remote access software is more efficient for certain tasks

If you work in IT, you’ll know the value of remote desktop software for taking over an individual computer from anywhere in the company and performing security updates, fixing problems in real-time, or just updating certain settings without having to leave your own desk. This can save a lot of time and keep productivity levels high. This also extends to other typical business practices like staff training in HR when your HR department happens to be miles away. Engineers in the construction industry can use remote access computing to connect to systems, apps and devices and share these resources from anywhere.

Remote desktop software extends whatever IT environment you already have in place, cloud or no cloud. It enables better collaboration, and this should be a consideration for any new business tool.

Better business collaboration

The importance of collaboration in business is nothing new. At this point we should all be familiar with the benefits of working in a collaborative environment:

  • Improvement in business performance
  • Enhancing employee skills
  • Information-sharing to maximize efficiency
  • Collaboration can lead to cost-reduction
  • Greater productivity
  • Boost bottom line

Collaboration is more important in certain industries

The ability to collaborate over a document is good; your communications department needs to produce a press release quickly, for example, and a few hands are needed to make it happen. But collaboration in other fields is often even more vital.

In medicine, for example, collaboration can be the difference between life and death. Remote access software can assist how doctors and nurses care for someone in a critical condition. They can send patient data to a colleague for their input, monitor specialized devices from a mobile device and receive important data quickly to help with vital decisions.

Medical institutions often prefer to use remote access software to aid in collaboration because it can more reliably support desktops, diagnostic apparatus, servers, x-ray machines etc., without breaking down or losing a network connection. Keeping critical devices from failing is essential. Being able to access data remotely without sacrificing security precautions (as might happen if they were relying on the public cloud) allows these institutions to comply with the Health Insurance Portability and Accountability Act (HIPAA), Protected Health Information (PHI), and the International Organization for Standardization (ISO) and still get all the benefits of remote access.

The Risks and Rewards of Remote Access in your Business

The risks and rewards of remote access

Remote desktop software has many benefits that make it a very good choice for businesses trying to increase productivity without putting more pressure on their staff and other resources. It’s a technology that can help your organization be flexible and fluid in its business processes.

But the technology is not without risk. And the prospect of deploying such software, especially in the current climate of security breaches and data hacks, could worry the senior management of your organization. Let’s look at both the benefits and the risks of remote access software and show that the right solution can ensure your network is as safe as possible while reaping the benefits of remote desktop access.

Benefits of remote access

For your employees, accessing information has never been easier. The advent of cloud computing makes using documents and generally working on the move as seamless as being in the office. The same goes for remote access software where the benefits are tangible:

  • Businesses can save on office space
  • Employees save on travel costs
  • Regional offices can stay in better contact with head office
  • Makes organizations more agile
  • Saves on IT infrastructure costs

As well as savings on space and cost, remote access enables:

  • More stable business processes – employees can connect to office networks even when something happens that stops them from getting there physically
  • Better motivated employees – remote working or working from home creates opportunity for better work-life balance
  • A more agile business – set up an office overseas simply; get back to a client ‘after hours’ outside the office; staff can connect to the company server via their mobile devices and get access to the latest versions of applications to reduce downtime and boost productivity

The security risks of remote access software

The greatest rewards often come with some risks. It’s the same with remote access software. Cyberattacks on business of all sizes are at an all-time high and are a rising concern for business leaders across industries. Their number one priority is protecting their organization’s data from cyberattacks. When it comes to incorporating any new technology, they must question: is it secure?

The security risks regarding remote access can be minimized in the same way your organization looks to minimize other IT-related risks. Implementing specific security procedures and protocols will minimize potential risk, like unauthorized access, and keep your data safe.

Choosing the right remote access solution can also help minimize risk. Splashtop remote access solutions feature several powerful security features that will make any business leader feel confident in knowing that their data is secure.

Permissive access

One of the first big potential remote access risks to offset is your company’s policy surrounding access to the company network. For instance, a lot of companies only allow remote access from certified company devices that can be more easily controlled, managed and locked. However, a lot of smaller business aren’t as stringent with such processes and any device can be used to log into the company network. This can be a problem for your IT team and their ability to monitor access, opening your data to unauthorized persons and malware or other viruses as personal devices won’t be as secure, may use outdated operating systems, or don’t employ strong anti-virus programs.

With Splashtop Business Access, you can choose which devices you want to give remote access permissions too. And two-factor device authentication ensures that only the devices you grant access will be access the company network.

Outdated web protection

Cybercrime is becoming more prevalent and attacks are more sophisticated today than they ever have been before. Therefore, you need the latest web protection. For example, web filtering blocks malicious webpages that might contain spyware, malware and other viruses. Filters can also act as blockers based on URL, page type, user or the device they are using.

Poor data encryption

Encryption is the foundation of good data security. Translating your important company data, like customer credit card numbers or other personal information, into another form or code which can only be accessed by those authorized should be a priority for any business looking to benefit from remote access software.

Splashtop Business Access uses TLS and 256-bit AES encryption which means that when your team is remotely access their computers, their sessions and information is safe.

Lack of asset tracking

One of the big threats with the flexibility of mobile access is that devices become quite powerful ports of corporate data. While it’s great for your staff to be able to view and work on important content on the go, it gets tricky if one of the devices goes missing—either lost or stolen—or falls into the wrong hands. Tracking and managing all devices needs to be another priority for your IT team to make sure they have visibility into all connected devices and can spot potential problems before they become full-blown issues. You will also want to ensure devices can be remotely wiped should they go missing.

Splashtop Business Access also helps reduce these remote access risks thanks to two-step verification and multiple second level password options. Read more about Splashtop Security Features.
